Administrative Assistant (Part Time)

SAFETYEmployee is responsible for adhering to all safety procedures and regulations established by the Department, the City and all State and Federal organizations.

JOB SUMMARYThis position is responsible for performing administrative and customer service duties in support of the Finance Department.
This position reports directly to the Customer Service Manager.
Hours are Monday through Friday 10:
00am to 2:
00pm.
ESSENTIAL JOB FUNCTIONS Assists the general public with questions, comments, complaints, and problems regarding all aspects of City services.
Collects water and sewer payments for the City and Berkeley County Water and Sanitation Authority (BCWSA).
Enters data into computer system and sets up new accounts for customers.
Creates and completes service orders to include connects, disconnects, leak checks, and other services.
Imports online payments daily.
Receives, prepares, processes and files various reports and records to include water bill payments, turn-off lists, service orders and customer history reports.
Process business license and hospitality tax remittances and collect related fees.
Prepares mail for the Post Office; picks up and distributes mail.
Obtains deposit receipts and change orders from the bank.
Greets visitors and answers the telephone, provides accurate information to callers and/or forwards calls to appropriate finance personnel; takes messages as needed and/or directs calls and routes information to appropriate Department, as needed.
Handles general public complaints or concerns and/or directs inquiries to appropriate finance department personnel.
Researches, locates, copies and distributes documents as requested and appropriate.
Attends training, meetings, seminars and/or workshops to enhance job knowledge and skills.
Serves as back up to co-workers.
Performs other duties as assigned.
MINIMUM REQUIREMENTS High school diploma or GED.
Some college desired.
Two years' administrative experience in an office setting, to include contact with the public in a customer service environment, records management, generating reports and working with spreadsheets and databases.
Experience in a government setting or utility company preferred.
Experience in records management, contact with the public and utilizing computers.
Must have intermediate knowledge of Microsoft Word, Excel, and Outlook.
Ability to become a Notary.
KNOWLEDGE, SKILLS AND ABILITIES Knowledge of basic accounting and mathematic functions.
Knowledge of departmental policies and procedures.
Knowledge of water billing procedures.
Ability to provide quality customer service, to include handling difficult customers.
Ability to organize work and stay focused.
Must be able to work with regular interruptions.
Ability to communicate effectively both orally and in writing.
Ability to use computers and various software programs, to include Word and Excel.
Ability to work under pressure in a fast-paced environment.
Ability to multi-task.
PHYSICAL DEMANDSThe work requires continuously sitting and talking as well as using vision to read written and electronic materials.
Frequently requires use of hearing to participate in discussions and telephone conversations.
Occasionally exerting up to 20 pounds of force to move objects and the following physical and fine dexterity abilities:
handling, grasping, hearing, mental acuity, repetitive motion, speaking, standing, talking, visual acuity.
WORK ENVIRONMENTThe primary work location is typically performed in an office environment relatively free from unpleasant environmental conditions or hazards.
MENTAL DEMANDSFrequently requires working closely with others as part of a team, performing multiple tasks simultaneously, and frequent change of tasks.
Occasionally requires time pressures, tedious or exacting work, and irregular schedule/overtime.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
